Cancellation, Refund & Rescheduling Policy – Stargazing Events
Applies to: All events hosted by Bangalore Astronomy Club and partner clubs (Delhi, Chandigarh, Leh, and future chapters)
1) Key Principles
- Stargazing is weather-dependent. We plan for clear skies but can’t control them.
- We offer reschedule-first options wherever possible so you still get the experience you paid for.
- Refunds (when applicable) are issued to the original payment method only.
2) Participant-Initiated Cancellations
Counted from the event start time.
- 7+ days before: 90% refund or 100% credit to another date (valid 12 months)
- 3–6 days before: 70% refund or 90% credit to another date (valid 12 months)
- 24–72 hours before: 40% refund or 80% credit to another date (valid 12 months)
- <24 hours / No-show / Late arrival: No refund, no credit
Transfers: You may transfer your ticket to another person once, up to 24 hours before the event at no cost (email us the new attendee’s name & phone).
3) Organizer-Initiated Changes (Weather / Safety / Venue Issues)
- Reschedule: If we reschedule for weather or safety, your booking auto-moves. Can’t make the new date? Choose 100% credit (12 months) or a full refund (minus gateway fees already incurred; see §7).
- Cancellation: If we cancel without a new date, you may choose full refund (minus gateway fees) or 100% credit (12 months).
4) Cloud Cover 🌥️/ Poor Visibility Policy (On-site)
We all love those crystal-clear nights, but sometimes the skies don’t cooperate — and that’s part of real astronomy! 🌌
Since clouds and weather are completely beyond our control, the event will continue as scheduled even if visibility is limited. Our team ensures a full astronomy experience with engaging talks, demos, equipment handling, astrophotography basics, and fun activities, so there’s always plenty to learn and enjoy regardless of sky conditions. These elements are a core part of the event and make it valuable even without telescope viewing.
Please note: no refunds, credits, or transfers are offered in case of cloud cover or poor visibility, as the educational and experiential parts of the event are still fully delivered.

5) Special Ticket Types
- Kids and Adults follow the same refund windows.
- Group/Corporate bookings (≥10 pax): Deposit is non-refundable once the date is confirmed; balance follows §2 windows. One date change is allowed ≥7 days prior, subject to availability.
6) What’s Not Covered
- Your travel, accommodation, meals, or any third-party costs.
- Personal gear loss/damage due to misuse or non-compliance with instructions.
- Partial attendance or leaving early.
7) Fees, Timing & How Refunds Work
- Payment gateway/UTR charges (e.g., Razorpay, card MDR, bank transfer fees) already incurred are not refundable.
- Refund processing: 5–10 business days after approval (bank timelines may vary).
- Bank transfer bookings: we’ll request your account details for the reversal.
- Chargebacks/disputes: Please contact us first; we resolve most cases faster than banks.
8) How to Request a Refund/Change

- Order ID, Name, Phone
- Event name & date
- Request type: refund / credit / reschedule / transfer (include new attendee details)
We’ll confirm eligibility per the windows above and reply with next steps.
9) Safety & Conduct
We may ask anyone to leave (without refund) for unsafe behavior, harassment, littering, wildlife disturbance, alcohol/substance use on site, or equipment misuse.
10) Force Majeure
Events beyond reasonable control (extreme weather, natural disasters, government orders, strikes, road closures, etc.) allow us to reschedule or credit your booking. Refunds follow §3.

- You cancel 5 days before: 70% refund or 90% credit to another date (valid 12 months).
- We reschedule for clouds/rain: You can attend the new date, take 100% credit, or get a refund (minus gateway fees).
- Clouds blocked most of the night but talks ran: No Refund, No Credit.
